Function Terms & Conditions

Reservation Fee: The Client agrees to pay a non-refundable reservation fee of £200.00 at time of booking to secure the date and time.  Any booking is deemed provisional until a deposit is paid.

Venue Hire: This does not include exclusive use of the venue, only the rooms as allocated in the chosen package.

Final Payment: 100% due no later than 14 days prior. 

Your invoice will include a service charge of 10% of the food element. This is a discretionary service charge and can be removed if you wish—please inform the club office as soon as possible.      

Any additional charges incurred on the day (e.g., extra guests, additional wines) are payable upon departure.

Event Details: The Client agrees to provide the final guest count, menu selections, and any special requirements no later than 14 days before the event. After this date, the client is liable for any changes incurring additional costs. Reductions are non-refundable.

Venue Access: The Client and vendors will have access to the venue from the arrival time stated in their booking.  If earlier entry is required, this is approved on an individual basis. 

External Vendors: Any outside vendors supplying equipment (e.g., additional lights, DJ equipment) must provide the Venue with a copy of their Public Liability Insurance certificate no later than 28 days before the event. They must also comply with the club's health and safety policy, available upon request.

Venue Decorations: Venue hire does not include decorations of any kind, except those listed in the chosen package.

Non-venue Consumption: Clients or guests may not bring any food for consumption. Only approved drinks incurring a corkage charge of £10 per bottle are permitted.

Damage and Liability: The Client assumes responsibility for any damage caused to the venue property or equipment by themselves or their guests during the event.

Alcohol Policy: The Venue reserves the right to refuse service of alcohol to any individual under the legal drinking age. The Client agrees to comply with all local laws and regulations regarding the service of alcohol.

Force Majeure: In the event that either party is unable to fulfil its obligations under this contract due to circumstances beyond their control, neither party shall be held liable.


Cancellation Policy:

In the event of cancellation, the Client forfeits the fees made to date. If cancellation occurs less than 14 days prior to the event, the Client is responsible for payment of the full contracted amount.

Cancellation charges will be calculated based on the contracted minimum number of adults stated upon signing the contract.

Cancellation or amendments to numbers or orders are subject to approval, after the 14-day deadline. 

The Venue can only accept cancellation in writing from the organiser. Only on receipt of written confirmation from the Venue to the organiser has the booking been cancelled.

In the case of force majeure, the Venue reserves the right to cancel any booking at any time, upon which only the deposit paid will be refunded.

The Venue reserves the right to cancel any booking forthwith and without any liability on its part in the event of any damage or destruction of the Venue by fire or other cause, shortages of labour or food supplies, strikes, lockouts, or industrial action, or any other cause beyond the control of the Venue which prevents it from performing its obligations in connection with any booking.
